Privacy policy

This page is a reference translation of the Japanese version. If there is any difference, the Japanese version prevails.

JC H&E (一般社団法人JC H&E, "we") complies with Japan's Act on the Protection of Personal Information (the "APPI") and other applicable laws, and handles personal information obtained in the course of our business as described below.

How information is handled in the ConvoArk Chrome extension is set out in the ConvoArk privacy policy (convoark.com/privacy.html (external site)).

1. Information we obtain

We obtain the following personal information by lawful and fair means.

  • Inquiries: your name, email address, affiliation, the content of your inquiry, and other information you provide
  • Job applications: information in your résumé, work history, and similar documents; what we learn in interviews; and the progress and results of the selection process (for applications made through job sites, Hello Work, or similar services, this includes the application information we receive through those services)
  • Offers and onboarding: information needed for the employment contract and for procedures required by law, such as social insurance
  • Business partners: the names, affiliations, and contact details of your staff, and other information needed for business communication

2. How we use it

  • To answer your inquiry and contact you as needed
  • To carry out the recruitment selection process and contact you about it
  • To keep records of our recruitment activities
  • For the employment administration of candidates who have received an offer and of employees, and for procedures required by law
  • To communicate with business partners and to conclude and perform contracts

Except where permitted by law, we do not use personal information beyond the scope of these purposes.

3. Sharing with third parties and outsourcing

Except where permitted by the APPI or other laws, we do not provide personal data to third parties without your consent.

We may outsource part of our work and entrust personal data to service providers to the extent needed. In that case, we choose providers carefully and supervise them as necessary and appropriate.

4. Security measures

To prevent leaks, loss, damage, and similar incidents involving personal data, we take security measures such as the following.

  • We limit who handles personal data and set rules for handling it.
  • We inform and train our staff on the proper handling of personal data.
  • We store documents and equipment properly to prevent theft and loss.
  • We prevent unauthorized access through measures such as access control and protection against malicious software.

We use external cloud services to receive and store email, deliver this website, and create and organize documents (including generative AI tools). Email is received and stored with Zoho Mail, provided by Zoho Japan Corporation (data centers in Japan). However, its group companies, including companies outside Japan such as in India, may handle the data, for example to deal with technical problems.

When we use the services of providers located in foreign countries, or when such providers handle personal data, we take security measures with an understanding of the personal information protection systems of those countries. At present, the main countries concerned are the United States and India. However, for services whose servers are in several countries, or where group companies may provide support, it may not be possible to identify every country involved because of the nature of the service. For information about each country's system, see the reports published by Japan's Personal Information Protection Commission (United States: www.ppc.go.jp/enforcement/infoprovision/laws/offshore_report_america (external site); India: www.ppc.go.jp/enforcement/infoprovision/laws/offshore_report_india (external site); in Japanese).

5. Retention

  • We keep personal data for as long as needed for the purposes of use or as required by law, and we make efforts to delete or destroy it without delay once it is no longer needed.
  • As a rule, application documents from candidates who are not hired are deleted or destroyed within 3 months after the selection process ends. We do not return application documents.
  • As a record of our recruitment activities, we keep minimal information, such as your name, application date, and the progress and results of the selection process, as a rule for 3 years after the selection process ends.
  • Information that remains on job sites or similar services is handled under the terms of each service.
